Explaining a Mistake

A conversation reporting a data entry mistake to a boss and apologizing.

Section Manager, do you have a moment? Actually, there's something I need to report to you urgently.

What's wrong? You look so serious — something must have happened.

Regarding the materials I handed out at last week's meeting, I just realized there's a mistake in the data. When I was entering the numbers, I mixed them up with another group's figures, so the sales numbers came out about twenty percent too high.

Twenty percent is significant. Does this mean that, because we didn't catch it right away, we ended up giving the materials to the client as well?

Yes, I'm very sorry. I was going over the numbers this morning when I finally noticed my own mistake. I thought I should report it immediately, so I came to you right away.

Understood. First, let's properly apologize to the client and resend the correct data. Mistakes happen to anyone, so I'm relieved you came to me early instead of trying to hide it.

I'm truly sorry. From now on, after entering numbers, I'll be sure to do a double check every time.

That's a good idea. By the way, I want you to really look back at why this mistake happened. So that we don't repeat the same mistake, it would be good to share what you learn with the team as well.

Yes, I'll definitely put together an analysis of the cause. I'll also come up with a proposal for improving our checking process and submit it by tomorrow morning.

Please do. I'll also report this matter to the department head myself. Don't try to carry this alone — when you need to, please come talk to me as early as possible.

Thank you very much. From here on, I'll be careful to make sure something like this doesn't happen again.
